Oracle Synergy Sdn Bhd ("we," "us," or "our") operates the ILMS (Integrated License Management System) mobile application (the "App"). This App is an enterprise application intended strictly for internal use by authorized personnel and administrators of Oracle Synergy Sdn Bhd.

1. Information Collection and Use

Since the App is an internal enterprise tool, we collect specific information to ensure the system functions correctly for our business operations:

• Account Authentication Data: Users cannot independently register an account through the App. Accounts are created and provisioned by system administrators via our web portal. Users will receive an email link to set their password. We use these credentials solely for securely logging you into the App.
• Camera and Photo Library Access: To perform core business functionalities, the App requires explicit permission to access your device's camera and photo gallery. This access is strictly used to capture, upload, and attach images of business premises, census stickers, license files, and signboards. All uploaded images are securely transmitted to and stored on our proprietary, self-hosted servers.

2. Data Sharing and Disclosure

We are committed to maintaining the confidentiality of your data. We do not share, sell, rent, or trade any collected data, account details, or uploaded images with any third-party services, external agencies, or third-party vendors. All data is processed and retained internally within Oracle Synergy Sdn Bhd's own server infrastructure.

3. Data Retention and Account Deletion

As this is an internal enterprise application, data retention and account lifecycles are centrally managed by our system administrators.

• Account Deactivation: Users do not have the option to delete their accounts directly from within the App. Upon cessation of employment, termination of contract, or when access is no longer required, system administrators will manually deactivate the user's account and revoke App access from the administrative web portal.
• Data Deletion: Any data or images uploaded during the use of the App remain the property of Oracle Synergy Sdn Bhd and will be retained or deleted in accordance with our internal corporate data retention policies.

4. Security

We value your trust in providing us your information. We utilize commercially acceptable security measures and internal server protocols to protect your data from unauthorized access, alteration, or destruction. However, please remember that no method of transmission over the internet, or method of electronic storage, is 100% secure and reliable.

5. Compliance with Laws

We process and manage all data in strict compliance with applicable privacy and data protection regulations, including the Personal Data Protection Act 2010 (PDPA) of Malaysia. We ensure that personal data is handled securely and solely for the intended operational purposes.
